Secure Message ‘ReplyFreeze’, ‘ReplyAllFreeze’ & ‘ForwardFreeze’
The Secure Messaging Platform uses a centralized, mutually trusted server to ensure that policies are always upheld. The platform allows the sender to control a message for its entire life cycle on the platform.
- ReplyFreeze prevents a recipient from replying to the secure message. ReplyFreeze could be used when an outbound email is intended to be a one-way notification without allowing the recipient to engage in an email discussion.
- ReplyAllFreeze [BETA] prevents a recipient from replying to all recipients of the secure message. ReplyAllFreeze can be used when an outbound email includes several recipients, and disables and prevents any of those recipients from replying to the entire group, and only back to the original Sending User. (By default, all Users that are BCC’d on any secure message are automatically prevented from replying to all recipients (this feature is not available with basic email and often creates embarrassing situations).
- ForwardFreeze is used to ensure that a recipient cannot forward the secure message on the Secure Messaging Platform to any other User.
It is important to note that these features are not designed to prevent the spread of information on its own, or to replace Information Rights Management (IRM) tools. Recipients continue to have the capability to take a screenshot of the secure message, photograph their monitor, or verbally share the content. Most organizations will conclude, however, that from a fiduciary standpoint, best efforts have been made to control the flow of data by using a Secure Messaging Platform without additional controls such as IRM. Delivery Slip options restrict what can be done for a specific secure message residing on the Secure Messaging Platform , therefore reducing liability issues.
