Local Store Archiving
- ‘Bolt on’ approach to existing infrastructure leaves zero footprint. Secure messages and file attachments can be stored un-encrypted within an existing internal mail server so that Users can still search for content in secure messages, and indexing and archiving systems continue working without any special configurations, or exported to any archiving system through our API Connector.
- Unique ‘Disable Local Store’ technology allows sending organizations to prevent local storing of secure messages in recipient’s local email client or server. Increase data security by preventing any User outside the organization from saving and archiving secure messages locally (e.g. MS Exchange® Server).
Secure messages can be stored by MS Outlook® into the traditional mail server repository (e.g. MS Exchange®, Zimbra®) as is done with any other basic email messages (default configuration). This means that all of the organization’s data is stored behind the organization’s firewall and any existing archiving or indexing email systems will still work with secure messages. None of the organization’s data is ever lost.
Super Secure: ‘Disable Local Store’
For an additional layer of security, the Super Secure feature ensures secure messages are never stored locally on recipient’s computers – even if the recipient is using MS Outlook®, MS Exchange®, Office 365® or Google® Mail. Every secure message is securely re-decrypted and re-retrieved from the Secure Messaging Platform every time it is viewed by the recipient and only stored locally on the User’s computer for the time the message is being viewed. As soon as the recipient navigates away from the secure message, the local content stored in their mail server – such as MS Exchange – is replaced with only the original notification message which is void of any confidential information. This is the reason that the Message Recall feature ensures a ‘true’ message recall and that no copy of the secure message exists anywhere, unless of course a recipient printed a copy or saved the attachments locally.
Note that with this feature enabled, existing archiving email systems will be archiving the notification messages instead of the actual content of the secure message. If organizational policies require that secure messages be archived the same way basic email messages are archived, the API Secure Delivery module should be used export all data real time decrypted to an appropriate storage location.
Auto-retrieve Attachment Files in Local Store – [BETA]
Since there are no restrictions on attachment file sizes, the Secure Messaging Platform uses a “pull” approach by default for file attachments, rather than being automatically pushed to the User’s inbox. Users have the option on a per file attachment basis to either view it (download), store it in local store (e.g. in MS Outlook® / mail server as with any other regular non-secure file attachment) or to save it to their local network. With this feature enabled, file attachments under a certain size (default configuration of15MB, configurable per organization) are automatically downloaded and stored locally in the mail server, making them available for archive.
Auto-retrieve Local Store Sent Items – [BETA]
This feature enables auto-retrieval of secure messages sent from MS Outlook®. Sent secure messages are synched to staff’s MS Outlook® sent items folder automatically (auto-saved in local store such as MS Exchange® or any other mail server, and available for archive), with no action required from the User. This feature is enabled for the entire organization, ensuring integrity of the content stored in the organization’s mail server.
Secure Message Center Sent Items Sync with Local Store – [BETA]
All secure messages sent through the web-enabled Secure Message Center or mobile devices can be automatically synched and stored in the organization’s local email server, such as MS Exchange®, and are available for archive. This feature is enabled for the entire organization, ensuring integrity of the content stored in their mail server.
